Terms & Conditions of Membership

A detailed explanation of how your Our Town Buyers Club membership works and how you save money on heating fuel. 

Once your membership is paid, we add your fuel volume to our total for bidding. There's no obligation to accept our bid winner if you don't like the vendor or the price. Though we try to please our members, Our Town makes the vendor assignments based on territory. Our Town seeks the best for its members and vendors may change from time to time. When Our Town finds a better price/vendor, the member will be notified when the vendor assignment changes.

If you have an unsuccessful experience with a vendor, we’ll be happy to switch you to another, if one is available in your area. However, we don’t permit “musical chairs” for vendors every year. The oil market is volatile; vendors all go to bid around the same time. The lowest-priced vendor this year will not necessarily be the lowest next year. Over time, prices will average out.

We negotiate discount prices with fuel vendors and announce them via email and USPS. By accepting these terms, you agree to be contacted by Our Town via email, USPS, and phone (for urgent issues like account deletion or expiring fuel offers).

You must contact the assigned vendor directly, provide your Our Town Member ID#, and choose a plan. Coordinate contracts, tank inspections or swaps directly. Members are responsible for delivery, service, and billing. Our Town does not handle fuel payments.

Refunds

Membership fees are non-refundable - similar to AAA, where your fee is not returned if you don’t use services. No refund if you:

• Use a different vendor or fuel
• Sell your home or move
• Fail a credit or tank inspection
• Miss out on delivery due to personal/vendor issue

Refunds are only issued if we cannot arrange fuel delivery to your address. We encourage reviewing the site and FAQs before joining.

Vendor Communication & Assignments

Pre-buy and contract communications are released in timely waves to comply with vendor requirements and ensure service quality. Communications may be sent in random sequential batches over one week.

Details & Definitions

• Fixed: means the price does not change. It remains the same all season regardless of market changes.
• Pre-Buy: You pay for your fuel at the beginning of the season. Vendor delivers fuel as you need it until the gallons purchased are delivered. If you underestimate, you pay the vendors rack price for additional fuel. If you overestimate you may receive a refund, credit or charged shortage fee. Call your vendor for details - Our Town does not have this information.
• Budget Pre-Buy: Same idea as pre-buy, usually 5¢/gallon and payments are over 6 to10 months, depending on vendor and date purchased.
• Rack Plus: Daily wholesale price of fuel plus administrative costs - price fluctuates daily.

Defined by your vendor and may vary each year. Contact your assigned vendor for specifics.

Fuel Types & Delivery

We offer Oil, Kerosene, and Propane discounts. All delivery, billing, and service is between you and your assigned vendor.

Vendor Policies

• Vendors may discontinue service if you pay late or fail credit checks.
• Most vendors require automatic delivery schedules. Check with your vendor.

Propane Tanks

If switching vendors, Our Town's vendors typically don’t charge for swapping tanks.

• You may incur an inspection fee (check with vendor or your town)
• Your old vendor may charge tank removal fees or deny credit on unused fuel
• Vendors can refuse service if your system doesn’t meet code

Waiver of Liability

Joining Our Town Buyers Club requires accepting the following:

The maximum liability Our Town holds is your membership fee. Our Town is not responsible for fuel delivery, spills, member disputes, vendor issues, or any third-party errors. You agree to indemnify and hold Our Town harmless. You may still pursue damages from your vendor or insurance provider.

Membership Rates

• Residential: $45 for one home/fuel. $20 for each additional location or fuel.
• Business: $55 for one fuel/location. $20 for extras.
• Non-profits: $50 for one fuel/location. $20 for extras.
